Job Description

The Fan Zone Manager is instrumental in orchestrating a seamless and unforgettable fan experience during a high-profile sporting event. Responsible for the strategic planning, execution, and coordination of fan villages and zones, this role aims to create a dynamic and engaging environment. By leveraging strong leadership, logistical expertise, and stakeholder collaboration, the Fan Zone Manager ensures the success of the event through the meticulous planning of entertainment, fan engagement, and operational elements, ultimately contributing to the overall success and positive reputation of the Fan Festival.

Responsibilities:

  1. Fan Village Planning and Delivery:
    • Work closely with various departments to plan and deliver fan villages.
    • Liaise with counterparts and stakeholders to strategically plan the journey of the fan villages.
  2. Scope Oversight:
    • Oversee the scope of the fan village, including refurbishments, F&B operations, FF&E setup plan, on-ground operations, and branding & signage.
    • Coordinate village activations and operations in collaboration with different stakeholders.
  3. Event Services Planning and Operations:
    • Plan and operate Event Services facilities for the Fan Festival, including Information Points, Lost & Found, Restricted Items Storage, Children Registration Kiosks, Lost Children Facility, Fan Engagement, and Accessibility Facilities.
    • Develop event services manuals, documentation, collateral, and operational policies and procedures.
  4. Training and Deployment:
    • Deliver Role-Specific Training and Venue-Specific Training to staff and volunteers.
    • Oversee the bump-in and fit-out schedule of event services spaces.
    • Provide daily briefings, deploy agency staff, and ensure a positive and informed experience for all involved.
  5. Issue Resolution and Reunification Process:
    • Address visitor feedback, accessibility challenges, and general FOH operational issues.
    • Oversee the correct reunification process for lost children with guardians during the operational period.
  6. Visitor Experience Strategy:
    • Implement the visitor experience strategy for the Fan Festival, defining policies, procedures, and operational plans.
    • Develop best-practice modules and staff training programs for the visitor services volunteer team and public-facing staff.
  7. Fan Zone Planning and Execution:
    • Strategically plan and execute the Fan Zone, conceptualizing the Acceleration Festival, including entertainment, F&B, and associated functions.
    • Handle budgetary planning, vendor and partner selection, and overall coordination of entertainment for the public.
  8. Stakeholder Relationships:
    • Foster stakeholder relationships by presenting and agreeing on the operation plan with relevant stakeholders.
    • Lead the Event Services team, providing clear guidance, conflict resolution, and motivation to ensure a successful Fan Festival.

 Experience:

Minimum of 5 years of experience in planning and executing fan zones or similar large-scale events.

Qualification:

Bachelor's degree in Event Management, Hospitality, or related field.

  • Experience in planning and operating Event Services facilities, such as Information Points, Lost & Found, and Fan Engagement spaces.
  • Skilled in delivering role-specific and venue-specific training to staff and volunteers, ensuring a positive and informed team.
  • Proven track record of addressing visitor feedback, accessibility challenges, and general FOH operational issues.
  • Strategic planning of the Fan Zone, including conceptualizing entertainment, F&B, budgetary planning, vendor selection, and overall coordination.
  • Strong leadership skills, leading the Event Services team by example, providing clear guidelines, mitigating conflicts, and motivating staff.
